Managing Your Expenses

The main Expenses page acts as your dashboard for tracking all your business expenditures. Here you can use the powerful filtering and sorting tools to find specific expenses by supplier, project, status, date, and more.

The Expense List

The core of the dashboard is the All Expenses list, which displays your expenses in a clear, table format. Each row shows key information at a glance: Supplier, Operation Date, Payment method, Total Ex. VAT, Total Inc. VAT, and the current Status.

Filtering and Sorting Options

Above the list, you'll find a powerful set of tools to organize and locate specific expenses:

  • Filter By: Click this to open a menu of filter options. You can narrow down the list based on:

    Filter by

    Customer

    If an expense has been allocated to a customer, you can filter by their name to see all associated costs.

    Projects

    This filter allows you to see all expenses related to a specific project, making it easy to track project costs and manage budgets.

    Total Amount (Ex. or Inc. VAT)

    Lets you find expenses within a certain price range. This is useful for identifying high-value purchases or for financial analysis.

    Status

    This is essential for managing your expense workflow. You can instantly find all expenses that are in Draft, see which are Submitted for approval, or review all Paid expenses for a specific period.

    Date Range

    Use the date picker to select a specific time frame. You can choose from presets like "Last 30 Days" or select a custom range.

    Created, Due & Issue Dates

    You can also filter expenses by Created Date, Due Date, or Issue Date.

    A search bar on the right allows you to quickly find an expense by typing in a supplier name, description, or other keywords.

    Sorting

    You can sort the list by clicking on the column headers (e.g., Supplier, Operation Date, Total Inc. VAT). An arrow will indicate the current sort order (ascending or descending).

Quick Actions

On the far right of each expense row, there is an Action menu (three dots). Clicking this reveals a set of quick actions you can perform on that specific expense:

  • Edit (Pencil icon): Opens the expense in the editor.
  • Delete (Trash icon): Permanently removes the expense.
