How do I create an invoice?

Creating an Invoice in Keepler is simple and can be done from multiple locations.

Note: Before you can create an invoice, you must first have a corresponding customer profile in your network. The customer's profile contains all the necessary details, such as billing address and contact information, that are automatically used when generating an invoice. Once a customer has been added, you can easily create and manage their invoices.

Starting from your Dashboard

  • From the main navigation menu on the left, click on the Accounting Space icon.
  • Select Invoices from the expanded menu. This will take you to the main Invoices dashboard.go to invoices from dashboard

The Invoices Dashboard

The main invoices page provides a complete overview of all your invoices.

  • To start a new invoice, click the + Create invoice button in the top-right corner or the New Invoice tile.
  • Below, you will find a comprehensive list of all existing invoices, showing key details like the Client, Invoice number, Issue date, Due date, Total amount, and Status.invoices

Creating a New Invoice

Once you click the + Create invoice button or New Invoice tile, you will be directed to the invoice creation page. This page allows you to define all the essential details for your new invoice. create-invoice-step-1-1

Here's a breakdown of the sections and what they offer:

Invoice Details

This section is where you set up the core information for your invoice.

  • Invoice name: A descriptive name for your invoice (e.g., "Product Purchase Invoice - Organic Skincare Bundle").
  • Invoice URL: The unique URL for your invoice (e.g., https://keepler.app/). This URL can be shared with clients for easy access.
  • Invoice slug: Auto generated user-friendly, URL-compatible version of your invoice name.
  • Customer: Select the customer for whom this invoice is being created. This links the invoice to their pre-existing profile.
  • Projects (Optional): Associate the invoice with specific projects, if applicable.create-invoice-section-1

Accessibility Settings

Keepler offers advanced accessibility features to enhance invoice sharing and tracking.

  • Authorize access via QR Code: Enable this option to generate a QR code for your invoice.
    • Frame: Choose from various QR code frame designs to match your branding.
    • Frame color: Customize the color of the QR code frame.
    • Frame text: Add custom text to appear within the QR code frame (e.g., "Scan Me").
    • QR Code: Preview the generated QR code. Clients can scan this code to quickly access the invoice.
    • Logos: Add your logo to personalize your QR code
    • Your URL: Auto generated URL associated with your invoice.accessibility-settings

Barcodes

This section allows you to customize the visual elements of your invoice.

  • Attach the barcode label: Activate this feature to include a barcode on your invoice. This is useful for easier identification and tracking.
  • Format: Select the desired barcode format (e.g., Code 39, Code 128, PDF417, Data Matrix, UPC-E, UPC-A, EAN-8, EAN-13).Barcodes

Billing Preferences

Configure your billing settings for the invoice.

  • Enable default taxes: Turn this option on to automatically include default taxes on your invoice.
  • Enable notifications for your clients accounts: Activate this feature to send notifications to your clients regarding their invoices, keeping them informed and up-to-date.Billing Preferences
